E-commerce & Marketing Coordinator - Shopify Expert

Our client is looking for a Part-Time E-commerce & Marketing Coordinator who is an absolute Shopify expert to keep our platform updated, integrate our systems, work alongside our external marketing agency, and help us prepare for a major industry event this autumn.

Requirements & Qualifications

Shopify Expertise: Advanced hands-on experience managing a Shopify store. You must understand product uploads, apps, themes, and backend administration.

Xero Integration Experience: Proven experience linking Shopify to Xero for automated invoicing and reconciliation.

Agency Experience: Experience working alongside an external digital marketing agency (like ETOTO) to drive results.

Event Planning: Strong organizational and project management skills; previous experience coordinating trade show stands (specifically at venues like the NEC) is highly desirable.

Attention to Detail: Absolute accuracy is critical due to frequent pricing and stock updates.

Schedule: Available to work 3 days a week (flexible on days, to be agreed upon hiring).


Responsibilities:

This is a critical, multi-faceted role combining e-commerce management with marketing coordination. You will be our internal Shopify Expert, ensuring our website accurately reflects frequent pricing changes and integrates seamlessly with our accounting platform, Xero.

Additionally, you will serve as the internal point of contact for our partnered digital marketing agency, ETOTO, to build and roll out marketing plans, while also taking a lead role in planning exhibition at the NEC in Birmingham this coming September.

Key Responsibilities

1. Shopify Management & Pricing Control
  • Take full ownership of the Shopify backend, ensuring the website is consistently up to date.
  • Implement frequent price updates quickly and accurately to reflect market dynamics.
  • Add and manage new product listings, descriptions, and imagery.
2. Shopify to Xero Integration
  • Transition our invoicing process: set up the integration between Shopify and Xero so that orders placed/invoiced on Shopify automatically and accurately sync with our Xero accounting software.
  • Train the internal team (including the CEO and Finance Manager) on how to use this combined invoicing flow effectively.
3. Marketing Coordination & Agency Liaison
  • Collaborate directly with ETOTO, our external digital marketing firm, to develop, execute, and monitor digital marketing campaigns.
  • Act as the internal champion for our brand, ensuring the marketing strategy aligns with our business goals and stock availability.
4. Event & Trade Show Planning
  • Play a key role in planning, coordinating, and managing our presence at the major industry trade show at the NEC Birmingham in September.
  • Manage logistics, stand planning, promotional materials, and marketing collateral ahead of the event.
